Account Set Up and Payment Management

 

Account Set Up

For clinical trials, once a research agreement is fully-executed and any institutional approvals (IRB/ACUC) are obtained, a copy of the fully-executed agreement is provided to the Controller’s Office.  Research accounts for clinical trials are not activated until the Controller’s Office has received a copy of the fully-executed agreement and the first payment due under the agreement.

 

For basic research, once a research agreement is fully-executed and any institutional approvals (ACUC) are obtained, a copy of the fully-executed agreement is provided to the Controller’s Office.  Research accounts for basic research projects are not activated until the Controller’s Office has received a copy of the fully-executed agreement and the first payment or an invoice request.

 

For other agreements with funding, once an agreement is fully-executed and any institutional approvals (IRB/ACUC) are obtained, a copy of the fully-executed agreement is provided to the Controller’s Office.  Timing and process of initiating accounts for these other agreements is similar to clinical trials and basic research projects, but may vary depending on the type of arrangement.  

 

Payments

The agreement dictates the structure, timing and any invoicing requirements under a study.  Industry Relations works with the PI and coordinator/administrator on the approval and/or negotiation of the payment terms under each project.  The PI is required to approve the budget and payment terms within the contract upon execution of the agreement by signature of the memo provided to the PI with the original agreements.  The Department is responsible for managing and ensuring that payments are received under the agreement.  Funds must be deposited into the account associated with the specific agreement.
